What you need before you start
Onboarding only asks for what your chosen products need. Having these details ready makes setup quicker.
For every product
- Authority to accept terms. You'll need to be authorised to accept terms for your organisation. Our team can help you through onboarding, but the terms must be accepted by you, logged in as yourself.
- A work email address. We'll send a six-digit code to verify it.
- Your organisation details. Legal name, trading name, ABN, website, phone number, organisation type, physical address and timezone. If you have RTO, TEQSA or CRICOS codes, we'll fill these in where we can.
- Payment details. A primary payment method and a backup payment method for your wallet. Payments are processed by Stripe.
You can also add a short description, your logo, links to your About us and student support pages, your Google Business Profile, social media links and campus locations.
Logo requirements
Square (1:1), at least 400 × 400 px, PNG or SVG, maximum 2 MB. A transparent background is preferred.
Does your organisation already have an account?
If so, sign in to add products, or ask your account owner to invite you. Only the account owner can add new users.
For AustralianCourses
To claim your listing, you'll need to be authorised to act for your organisation, hold current registration with the relevant regulator (such as ASQA, TEQSA or a state authority) and have a valid ABN.
For Lead Generation
- The courses you want to promote.
- How you'd like to receive leads: by email, or into your CRM.
For StudentIgnite
Your channels
Choose the channels you want Herbot to use. For each one, you'll need:
- SMS: an account with Twilio, ClickSend or Sinch Engage.
- WhatsApp: access to your Meta Business Manager. The number you use can't already be active on a personal WhatsApp account.
- Messenger: access to your organisation's Facebook Page. Connecting it to the same Business Manager as WhatsApp helps Herbot use ad context across both channels.
- Web chat: someone who can add a script to your website through Google Tag Manager or in your site's footer. You can also email the instructions to your developer.
Your courses
Have the web address (URL) of each course page ready. You can also add a course brochure, or upload many courses at once using our CSV template. Match + Qualify and Screen + Writeback work across your full course catalogue, so add all your courses.
Your CRM (optional)
A CRM isn't required, but we recommend connecting one. Without a CRM, only enquiries from CourseFinder, StudySelect, Career FAQs and AustralianCourses can be routed through StudentIgnite. You can still see, filter and add notes to all your leads in your dashboard.
Your calendar (optional)
To let Herbot book students in, connect Calendly, Zoho Calendar or HubSpot, add a booking link manually, or use StudentIgnite's built-in calendar.
Your privacy policy and enquiry forms
When you activate StudentIgnite, you confirm that your privacy policy and enquiry forms tell students they may be contacted by SMS and messaging about their enquiry. It's worth checking your wording before you start.
Your wallet
When you sign up, you pay your initial wallet purchase plus your first month's fees. After that, monthly fees and lead charges are drawn from your wallet. When your balance falls to 25%, we automatically top it up by your minimum top-up amount.
| Product | Minimum initial purchase | Minimum top-up |
|---|---|---|
| AustralianCourses Present | $300 | $300 |
| AustralianCourses Leads (includes Lead Generation) | $1,000 | $1,000 |
| Lead Generation | $1,000 | $1,000 |
| StudentIgnite Capture + Book | $2,000 | $1,000 |
| StudentIgnite Match + Qualify | $3,000 | $1,500 |
| StudentIgnite Screen + Writeback | $4,000 | $2,000 |
If you choose more than one product, your minimums are added together.
Example
A provider signs up for StudentIgnite Capture + Book only. At signup, they pay the $2,000 initial wallet purchase plus the first month's $489 platform fee: $2,489, with GST added to the fee. From the second month, the platform fee and lead charges come from the wallet.
Good to know
If you've agreed invoicing terms with us, onboarding skips wallet setup.
